Work collaboratively to provide surgery scheduling, complex test coordination, as well as post-operative and clinic appointments for the Orthopaedic Surgery Department at MedSport. Assist the team to ensure appropriate authorizations, medical clearances, outside medical records and other required test results are obtained. Provide administrative support for clinical faculty as necessary.
Candidate will be responsible for scheduling surgical procedures.
Cancel and reschedule OR cases and clinics as needed.
Communicate with the patient to confirm OR date.
Provide diagnosis and/or procedure codes to obtain approval for surgery.
Obtain proper insurance address and documentation requirements for the letter of medical necessity to be sent.
Enter outpatient surgery authorizations.
Track pending authorizations.
Schedule patients for clinic visits, consultations in other clinics, diagnostic studies, and ambulatory surgery.
Instruct patients on preparations needed for appointments.
Relinquish OR time if surgeon does not have cases to fill the rooms.
Utilize available OR rooms for other dedicated surgeons.
Work within a team providing cross coverage, as necessary.
Maintain faculty calendars and communicate clinic schedule changes to clinic team.
Manage in-basket messages.
Answer phone calls promptly and professionally.
Manage faxes, copying and scanning as needed.
Create correspondence, documents or perform other tasks as directed by physicians and/or supervisor.
Provide back-up support to the other faculty, when necessary.
Participate in staff meetings and LEAN / performance improvement initiatives.
High school diploma or GED.
A minimum of 3 years of related experience.
Knowledge of basic medical terminology.
This position requires excellent customer service skills to patient, families, faculty, staff, and peers.
Attention to detail is essential.
Must be patient and have a nurturing personality when dealing with anxious patients.
All candidates must demonstrate a positive and professional attitude, providing outstanding customer service in all interactions.

Knowledge of the following software programs: Endnote, M-Pathways, Outlook, OpTime and MiChart (EPIC). Ability to quickly become proficient in the use of new software.
Experience working within a large, complex healthcare setting.
Familiarity with Michigan Medicine's electronic medical record systems.
Knowledge of university policies & procedures.
Location is at Orthopaedic Surgery - MedSport at Domino's Farms. This position will work 8:00am to 5:00pm Monday through Friday, with the exception of meetings or coverage when necessary. Work from home options.
