Position Summary: We have an exciting opportunity to join our team as a Office Supervisor.
In this role, the successful candidate will report to the Operations Manager. The supervisor is responsible for assisting with the supervision and scheduling of pediatric clinic coverage, monitoring daily registration/scheduling operations work flow, Managing Epic schedules and templates, in addition to coordinating appointment requests from internal and external practices and facilities.
Demonstrates knowledge of the organizations Core values and incorporates them into performance of duties.
Monitors work flow of daily clinics and adhere to established protocols for Center for Children under the direction of the Operations Manager.
Knowledge of basic medical terminology in order to communicate with clinical staff. Works with Operations Manager in coordinating staffing to ensure support of clinical operations. Provides coverage as needed to support clinical operations.
Works with Operations Manager to provide direct supervision and training of Secretary I and II positions.
Proficient in all scheduling/registration (Cadence) components of the Epic medical record. Assists Operations Manager in management of Epic schedules/templates.
Answers patient calls and provides service recovery as needed.
Proficient computer skills including working knowledge of Microsoft Office. Knowledge of health insurance plans as they relate to the Center for Children.
Ability to work and effectively communicate with a variety of people.
Monitors daily operations of scheduling.
Performs other duties as assigned. Ability to multi-task and support staff.
Budget: Works with the Senior Director in identifying needed supplies.
Reports/Documentation: Generates weekly and monthly data from Epic as required including but not limited to volume and productivity.
Staff Development: Ensures staff is up to date on Compliance and Epic trainings
Communication/Relationship with Others: Provides exemplary customer service skills. Demonstrates ability to supervise clerical staff and provide daily support.
Minimum Qualifications: High School diploma or equivalent. Three to five years (3-5) of healthcare experience working in a patient care front office. Experience utilizing electronic medical records and providing direct supervision.
Preferred Qualifications: Experience working in a high volume pediatric health care setting. Bilingual (Spanish)
