We have an exciting opportunity to join our team as a Program Manager.
In this role, the successful candidate Provide leadership and administrative direction, in collaboration with section leadership and divisional and departmental administration, for faculty and staff in the Center for Health Equity. This includes supporting the HR management, oversight of grant and non-grant financial accounts, moving forward strategic initiatives and management of the day-to-day operations. Responsible for collaborating with Principal Investigators (PIs) and working independently within the scientific framework of the section to support grant submission and implementation of awarded projects.
- Attend monthly departmental administrative meetings and serve as a liaison between Section staff and faculty and department administration and other SoM departments as appropriate. Perform other duties as assigned.
- Propose then implement creative approaches to program management and improvement.
- Create a positive environment that fosters inclusion, collaboration, dedication and teamwork among Section faculty and staff.
- Support Section faculty and staff in expense management including, petty cash, p-cards, check requests, honorarium payments, employee travel and expense reimbursements, new vendor set up and procurement of goods and services.
- Along with the divisional and departmental Administration, manage the space, equipment, any facility related issues within the Section.
- Support faculty and staff in their research and education efforts including implementation of processes to improve efficiency and overcome obstacles while working toward common goals.
- Work with divisional and departmental administration to hire new staff, address any performance issues and process related changes in employment status (i.e. change in hours, termination, etc).
- Manage HR related tasks for Center faculty including on-boarding volunteers, orienting new staff and ensuring completion of annual performance appraisals for Center staff.
- Meets on a regular basis with the department and division administration to review current research activity including monitoring on-going financial performance and adherence to annual budgets and ensure post-award follow-up items are addressed.
- Supports Section faculty on financial, A133, and other research compliance audits.
- Oversees compliance with all funding agencies and the IRB by ensuring that required information is maintained and reported on a regular basis. Identifies and analyzes any discrepancies in order to ensure appropriate justifications are provided.
- Provides administrative support to the Section director and associate director, related to financial and grants management. Proposes and implements creative solutions to maximize funding and staffing on sponsored projects.
- Responsible for maintaining and monitoring a repository of faculty biosketches, Other Support documents according to NIH guidelines, and accurate Time and Effort reports.
- Responsible for all aspects post-award fiscal and administrative management of awards including required reporting funding agencies; subcontractor monitoring; staff salary allocations; and requests for carryover. Ensure spending on awards is appropriate, within budget and allowable per funding entity guidelines. Submits rebudgets as appropriate. Completes and finalizes non-competing continuations in the Research Navigator system.
- Provides administrative support to Principal Investigators in the development of grant submissions. Prepares budget and budget justification, reviews with PIs, and makes changes as requested. Leads communication with collaborators and community partners to negotiate budget and subaward agreements and coordinate administrative and scientific components needed. Processes grant submissions via Research Navigator.
- Oversees and monitors human subjects compliance for all sponsored and non-sponsored research projects, working in close cooperation to monitor timely IRB submissions and reporting and provide support to research coordinators as needed for IRB protocol development and submission
- Supports the Sections compliance with departmental strategic initiatives, including branding and communication, and participation in SoM mandated faculty and staff development and training activities
- Assists in the review, editing, and compliance of materials related to Section branding and dissemination efforts
To qualify you must have a Masters degree in public health, health care administration, business, education administration, science; other areas will be considered as well..
Attention to detail is critical. Evidence of highly effective project management and supervision of staff. Strong communication, analytical, organizational and time management skills. Proficiency in using Research Navigator, ASSIST, and other grants submission and management software. Proficiency in using various Microsoft Office applications such as Excel, Access, Power Point and Outlook. Familiar with Internet applications.
