Position Summary: We have an exciting opportunity to join our team as a Medical Office Associate in the Harkness Center for Dance Injuries Department. To qualify a Bachelors Degree is required. Minimum one (1) year experience as a Medical Office Assistant or equivalent. Excellent oral and written communication skills required. Advanced proficiency in Word, Excel, and Outlook including creating and maintaining spreadsheets and Power Point presentations. Significant health care experience preferably in an academic medical center preferred.
In this role, the successful candidate will be responsible for providing high level administrative support by managing phone lines, scheduling and registering patients, preparing reports, handling information requests, and performing other functions such as preparing correspondence, receiving visitors, and scheduling meetings. Independently performs all duties while maintaining a professional, polished, calm and welcoming environment. Qualified candidates must be able to effectively communicate with all levels of the organization.
Manage multi-line phone system and scheduling within an electronic medical record system.
Initiates and completes all activities related to appointment scheduling and registration for dance clinic, surgery, physical therapy and injury prevention assessments.
Maintains HCDI public calendar.
Tracks and monitors the Special Assistance Fund utilization.
Responsible for maintain HCDI databases.
Assists with payroll submission and PTO usage.
Ensure that clinical staff licensures and memberships are current.
Coordinates Departmental meetings and records minutes.
Assist with front desk and telephone management.
Assist with preparation and analysis of the Centers budget and other financial reports in accordance with guidelines of the Director of Research and Education
Oversees department inventory and equipment ordering systems.
