In this role, the successful candidate Responsible for coordinating and supporting administrative activities for the Department of Orthopaedic Surgery and ensuring efficient administrative operations. Maintains calendar and efficiently schedules meetings, conferences, travel arrangements, etc. Acts as a liaison between leadership and rest of organization to expedite communications. Plans and coordinates interrelated activities effectively and efficiently according to schedule. Handles confidential matters with appropriate urgency and discretion. Prepares all materials in a professional manner through efficient use of staff and technology. Exercises independent judgment in the resolution of administrative concerns and issues. Provides guidance to the work of support staff as needed.
Job Responsibilities: - Performs other duties as assigned.
- Provides backup support for reception as needed. Meets and greets clients, resolves non-routine situations based on established policies and procedures and refers non solved issues and questions to the appropriate party.
- Pay invoices, submit online payment requests and purchase orders, reconcile departments pcard expenses.
- Oversees the day-to-day activities of the departments Administrative Assistant.
- Manages the departments payroll functions for SOM and HOS staff
- Performs HR functions in Manager Self Service including eHires, Request to Recruit, Terminations, Leave of Absence, Reallocation of Funding and Job Descriptions.
- Manages calendar; makes complex scheduling arrangements involving multiple parties and conferences under minimum direction. Organizes and facilitates meetings, conferences, and other special events, as required, including catering, identifying needed resources and arranging for required support (i.e. Technical, A/V, etc) for meetings and events. Organizes travel logistic arrangements and itineraries as needed. Serves as a primary point of contact for a wide range of administrative issues affecting the departments offices/divisions, individuals, external institutions and agencies.
- Gathers data and information from various sources; prepares reports based on information compiled, determines report format and elements needed, reviews for format and content structure based on knowledge of department specifications; research problems, issues and concerns; responds to requests for information and summarizes data based on information compiled from various sources.
- Provides administrative support primarily to the departments Administrator but also to the departments Chair and Vice Chair to maintain and improve the workflow level and efficiency. Works effectively and interacts independently with internal and external sources to solve problems. Conducts research and provides basic reports of finding and makes preliminary recommendations.
Minimum Qualifications: To qualify you must have a Bachelor's Degree in a related field.
- Minimum of three years of related experience in an administrative support role or the equivalent combination of education and experience. Computer Skills - Proficient in the use of Microsoft Office Word, Excel, and Access.
- Ability to develop formulae for moderately sophisticated spreadsheets; set up routine computer procedures; resolve simple software/hardware problems.
- Ability to access e-mail, electronic calendars, and other basic office support software. Effective oral, written, communication, interpersonal and customer service skills.
- Ability to proofread documents and write clear, concise 1st draft. Ability to type at a speed of at least 50 net words per minute. Ability to multi-task while paying attention to detail.
- Ability to exercise administrative judgment and assumes responsibility for decisions, consequences, and results.
Preferred Qualifications: Five years of responsible administrative experience Qualified candidates must be able to effectively communicate with all levels of the organization.
